DATA PROTECTION CONSENT

It is necessary for Corrib R.F.C. to collect & record certain personal data relating to each member, including the players name, address, telephone number & date of birth. The data about each member will be used for management and administration purposes only & shall be provided to the IRFU and other third parties to facilitate any service provided by the club. Any party receiving the information shall not use it for commercial purposes or release it to ant party without prior approval. Additionally, Corrib R.F.C. reserves the right to publish match reports and rugby related images including photographs & film of each member in club publications & in local or national print or electronic media.

I consent to the use of the personal details as set out above for such purposes as the club considers reasonable and appropriate.

I also consent to the details in this form being submitted to the IRFU.

CODE OF CONDUCT

Corrib RFC is a club with a proud and longstanding tradition of playing the game of rugby with dedication and commitment, and always in an enjoyable manner. As players, coaches, parents and supporters, we all want the best for our teams, but it is important that we all remember that rugby is a game, and that winning and losing are part of the sport we love.

Both in our own community and on the playing pitch, when we wear the club colours we are acting as ambassadors for our club and the sport of rugby. From the moment we enter the club grounds, home or away, we have a duty to the club and each other to hold ourselves to the highest standard of conduct and behaviour. Before, during and after each game we are all bound to show that Corrib RFC is a club that plays hard but fair, and always respects the values of Rugby

1.1.1 Players

• Play for enjoyment and become part of the rugby family.

• Respect the “Game of Rugby” and play within the Laws of the Game.

• Accept the referee’s decision and let your captain or coach ask any relevant questions.

• Play with control. Do not lose your temper.

• Always do your best and be committed to the game, your team and your club.

• Be a “good sport”. Applaud all good play whether by your team or the opposition.

• Respect your opponent. Treat all players as you would like to be treated. Do not “bully” or take advantage of any player.

• Rugby is a team sport and make sure you co-operate with your coach; team mates and members of your club.

• Remember that the goals of the game are to have fun, improve your skills and feel good.

• At the end of the match thank your opponents and the referee for the match.

• Always remember that you owe a duty of care to your opponents. Tackle hard but fairly, do not intend to hurt your opponent.

• Winning and losing is part of sport: Win with humility – lose with dignity.

• As part of the team it is important that you attend training regularly and listen to your coach and help your team.

• As a team sport, it is important to understand that all members are important to the team!

• Remember you are representing your team, club, family and the game of rugby.

1.1.2 Coaches

• Remember that as a coach that you have a duty of care to all your players.

• Remember that as a coach of an “age grade team” you are acting “in loco parentis”.

• Lead by example - young people need a coach they can respect as a Role Model.

• Be generous with your praise and never ridicule, shout at players for making mistakes or losing a match.

• Teach your players that the Laws of the Game are mutual agreements which no one should evade or break.

• Ensure that you are appropriately qualified by gaining the relevant coaching accreditation for your particular level.

• Be reasonable in your demands on the players’ time, energy, and enthusiasm.

• Encourage respect for all participants – teammates and opponents, as well as match officials.

• Create a safe and enjoyable environment in which to train and play.

• Always follow professional medical advice in determining when an injured player is ready to play again.

• Develop policies for your club / team to agree procedures regarding discipline, injury prevention & treatment, team selection etc.

• Be responsible and ensure you uphold the ethos of the game and the IRFU.

• Support the IRFU Child Welfare Policy and all policies regarding Children in Sport.

1.1.3 Parents

• Remember, young people play rugby for their enjoyment, not only yours.

• Encourage your child always to play by the Laws of the Game.

• Teach young children that honest endeavour is as important as winning, so that the result of each game is accepted without disappointment.

• Help young people to work towards skill improvement and good sportsmanship.

• Set a good example by applauding good play on both sides.

• Never ridicule, humiliate or shout at young players for making a mistake or losing a match.

• Do not place emphasis on winning at all costs.

• Do not force an unwilling child to participate in the playing of rugby. If the child is to play, he/she will do so in good time, through your encouragement.

• Support all efforts to remove verbal and physical abuse from rugby.

• As a spectator, do not use profane language or harass referees, coaches or players.

• Do not publicly question the referees' judgement and never their honesty.

• Recognise the value and importance of volunteer referees and coaches.

• Identify and acknowledge the good qualities of the Game of Rugby and uphold these values.

• Remember you and your child's contribution to the Game of Rugby is very important to the IRFU and be proud of your contribution.

• Understand the value of team sport and the importance there of.

1.1.3 Supporters

• Remember that although young people play organised rugby they are not "miniature internationals".

• Be on your best behaviour and lead by example. Do not use profane language or harass referees, players or coaches.

• Applaud good play by the visiting team as well as your own.

• Show respect for your team's opponents. Without them there would not be a match.

• Condemn the use of violence in all forms at every opportunity.

• Verbal abuse of players or referees cannot be accepted in any shape of form.

• Players or referees are not fair targets for ignorant behaviour.

• Encourage young players to play by the Laws of the Game.

• Spectators can contribute to the enjoyment of the event and all involved.

• Be proud of your club and the Game of Rugby.

SOCIAL MEDIA & PHOTOGRAPHY

SOCIAL MEDIA AND PHOTOGRAPHIC POLICIES

It is expected that all Members, Coaches, Parents and Players will uphold the ethos of the Club in all social media interactions and use of photographic materials, including any recordings.

Members will not act in such a way that the image of Corrib Rugby Club (“the Club”) is brought into disrepute nor in a way that harms its immediate and wider rugby community. Social media can be, when appropriate, an effective tool and is commonly used by the Corrib Rugby Club committees, members and coaches to communicate with parents, players and members.

Corrib Rugby Club understands that publicity and pictures of people of any age enjoying rugby are essential to promote the Club and the sport. To facilitate this, the Club has adopted the principles and rules of the Irish Rugby Football Union (IRFU)

1.1.1 Photographic Policy

Corrib Rugby Club expects members to use social media and photographic materials in a respectful and responsible manner. Social media and photographic materials should not be used to insult, present offensive or inappropriate content or to misrepresent the Club or any member of Corrib Rugby Club or the wider community.

The purpose of this policy is to set standards of behaviour for the use of social media and photographic materials that are consistent with the broader values and expectations of the Club.

Definition of Social Media

Social media – this refers to all social networking sites, such as, but not limited to Facebook, Twitter, LinkedIn, Instagram, YouTube, MSN, WhatsApp, Snapchat, etc. and includes e-mail and mobile devices.

It covers photographic images, whether taken by mobile telephone, camera, or other devices.

Photographs - Policy on photographic images are as follows:

We must ensure that parents/guardians, young persons and adults and all members of the club have granted their consent for the taking and publication of photographic images and have ticked their permission box included in the annual registration form.

Coaches and photographers must be made aware if any parent, guardian or child have refused their permission and ensure that the parent/guardian’s and/or child’s wishes are implemented and respected.

Prior to any event where the players will be photographed or recorded, the opposing team coaches must be notified. If this cannot be done before an event for any reason, the head coach (not the photographer) on the day must inform the other team’s coaches.

A “closed group” is a group set up on social media (e.g. Clubzap, WhatsApp, Instagram, Facebook, etc.) which can only be accessed with permission from the group administrator. Apart from sharing photographs within a “closed group” (for example the WhatsApp U14’s parents group) photograph’s must not be shared with anyone other than parents/guardians of the players without the written consent of the parent of the child – this includes other teams. If in doubt, before posting an image – for example on Facebook, the child’s parent/guardian must be contacted, and written permission received.

In addition, the content posted on such groups is expected to adhere to the rules and behaviour contained in this document – especially under the heading further below on “Social Media”.

All photographs must be respectful and never show any inappropriate poses or body positions. Any inadvertent photographs showing such must be immediately deleted.

It is Club policy that:

• All young people must be appropriately dressed for the activity taking place.

• Photography or recording should focus on the activity rather than a particular young person and personal details which might make any person, particularly a young person, vulnerable, such as their names and address, must never be revealed.

• Where an individual has achieved success in the game (e.g. when selected for representative side or honoured in some way by a prize) permission should be gained from adult/parent/guardian and the young person to use photographs/recordings and relevant details.

• Where possible photographs/recordings should represent the diverse range of people participating in rugby.

• Anyone taking photographs or recording at any rugby event must have a valid reason for doing so and seek the permission of the Club Welfare officer, Club secretary or member of the Executive Committee.

• Anyone taking photographs or recording should make themselves known to the event organisers/persons in charge and be able to identify themselves (driver’s license) if requested during the course of the event.

All concerns regarding inappropriate or intrusive photography should be reported in confidence to the Club child welfare officer.

In relation to photographic materials, CORRIB RUGBY CLUB recognises the need to ensure the welfare and safety of all young people in Rugby Union. As part of our commitment to ensure the safety of young people we will not permit photographs, video or other images including those taken via mobile phones of young people to be taken or used without the consent of the parents/carers and the young person. All club members are expected to follow and implement this policy.

CORRIB RUGBY CLUB will take all steps to ensure that any images are used solely for the purposes they are intended which is the promotion and celebration of the activities of the Club.

If you become aware that these images are being used inappropriately you should inform the Club Child Welfare Officer.

The images may be published on the club official website or on the Club’s official social networking sites such as Facebook. The Club cannot take responsibility for pictures or other material published on other websites or publications outside the Club’s control.

Members are reminded that if they submit for publication or post on a website any pictures or other material containing other players that they are not directly responsible for; they must have permission of the player’s parent/carer concerned.

Naming of Young Players in Photographs (Tagging).

The names of young players should not be used to tag images on Websites that have no access control and can be accessed by the general public unless written permission has been obtained from the player’s parent or carer.

If at any time either the parent/carer or the young person wishes the data or photograph to be removed from the website, the administrator and/or the Club Safeguarding Officer should be informed immediately: info@corribrfc.com

COMMUNICATIONS

All contact to under 18s must be through parent/carers.

Care should be taken with group communications, use of bcc is strongly advised.

1.1.2 Social Media

When using social media, members are expected to ensure they:

• Respect the rights and confidentiality of others.

• Do not impersonate or falsely represent another person.

• Do not bully, intimidate, abuse, harass or threaten others.

• Do not make defamatory comments.

• Do not make any negative comment or refer to individual players ability or performances.

• Do not use offensive or threatening language or resort to personal abuse towards each other or members of the Corrib RFC community.

• Do not post content that is hateful, threatening, pornographic or incites violence against others.

• Do not post content that harms the reputation and good standing of Corrib RFC or those within its community.

• Coaches and members cannot be prohibited from setting up their own unofficial closed groups, but these must not be affiliated or identified as being related to the Club in any way: For example: “Corrib RFC lads club” is not allowed. In either case, the same policies and codes of conduct apply to all such groups and any member found to bring the clubs good name will face the sanctions outlined below.

1.1.3 Mobile Phones

The Club’s club protocol regarding the use of mobile phones (calls / text) by players and adults as a mode of communication regarding club matters for events or matches is to:

• Encourage the use of group texting through Clubzap to players and parents to inform them of activities and matches.

• Avoid constant communication with individual players – liaise with parents / guardian on matters.

• Have a policy regarding the use of phones (camera / video phones) in certain locations of the club (e.g. changing room / toilets).

• Ensure phones are not being used as a form of Bullying (refer to section on Bullying).

The Club’s protocol in the event of offensive content being distributed or found on a club member’s mobile phone.

• Age grade players should be advised as follows

• If you receive an offensive photo, email or message, do not reply, save it, make a note of times and dates and tell a parent or the Child Welfare Officer within the club.

• Be careful about who you give your number to and do not respond to unfamiliar numbers.

• Change your phone number in cases of bullying or harassment.

• Avoid using your phone in certain locations - inappropriate use of your camera phone may cause upset or offence to another person, e.g. in the changing rooms.

• Treat your phone as you would any other valuable item so that you guard against theft.

BREACH OF THIS POLICY

A breach of this policy may also involve a breach of other CORRIB RFC policies and should be read in conjunction with the:

• Player’s Code of Conduct

• Parent’s Code of Conduct

• Coaches and Manager’s Code of Conduct

A breach of this policy will be considered by the Committee or their delegates and will be dealt with on a case by case basis.

All reports of cyberbullying and other technology misuses will be investigated fully and may result in notification to the police where CORRIB RFC is obliged to do so. Sanctions may include, but are not limited to, suspension, or banning from membership of CORRIB RUGBY CLUB. Members must be aware that in certain circumstances where a crime has been committed, they may be subject to a criminal investigation by the police over which CORRIB RFC will have no control.
